Team memory is shared with everyone in the workspace. Your private notes and your searches aren’t.
Notes, facts and work
- Notes are things worth remembering, like “the staging database moved to the -2 server on 25 October”. A new note is private to you until you share it.
- Facts are named answers the whole team relies on, such as
relay.deploy= “Fridays only”. Facts are always shared, keep their history, and show who checked them last. - Work is who is on what right now, plus handoffs between people, so two assistants don’t redo the same job.
Who sees what
| Thing | Who sees it |
|---|---|
| Your private notes | Only you, and only while you’re in that workspace. Workspace admins can’t read them through the service. |
| Team notes and facts | Everyone in the workspace, with who saved each, through which assistant, and when. |
| Who read a fact | Everyone in the workspace sees read receipts on team facts: who, which assistant, when. |
| Work, check-ins, handoffs, open items | Everyone in the workspace, viewers included. A check-in shows its project, branch and file paths. |
| People and connected assistants | Everyone in the workspace sees each person’s role, rank, join date, last activity, and which assistants they connected. |
| Your searches | Not shown to anyone. If the same team question finds nothing twice in 14 days, it shows up as a gap to fill: the question with secrets removed and how many asked, never who. |
What KoalaFix won’t save
Saving refuses text that looks like a live secret (API keys, private keys, passwords, tokens) or a labelled personal ID such as a tax file number or card number, in private notes too. It catches the common shapes, not everything, so don’t paste secrets into memory.
KoalaFix people
Only named KoalaFix people with a need can reach what’s in a workspace: to give support you ask for, to investigate a security incident, abuse or a breach of the Terms, to keep the service running, or to comply with the law. That access is logged. Security Practices has the detail.
