OneDrive won’t sync? Here’s how to fix it.

OneDrive quietly stops syncing more often than it should: a paused icon, a file stuck on “processing changes”, or edits that never reach the cloud. Work through these in order; most teams are sorted by step 4.

01 · Quick checks first.

  1. Is OneDrive actually running? Look for the cloud icon in the system tray (bottom-right). No icon means it’s closed. Open it from the Start menu.
  2. Is it paused? Right-click the cloud icon → Resume syncing. OneDrive also auto-pauses on metered Wi-Fi and in battery-saver mode.
  3. Are you signed in to the right account? Cloud icon → gear → Settings → Account. A personal account won’t sync your work files.
  4. Have you run out of space? If your OneDrive or PC storage is full, syncing stops silently. Free up room in either place.

02 · Check the file, not just the app.

One bad file can stall the whole queue. The usual culprits:

  • Illegal characters. Names containing " * : < > ? / \ | won’t sync, so rename them.
  • Path too long. Very deep folder paths (over ~400 characters) get rejected. Shorten the folder names or move the file higher up.
  • The file is open elsewhere. A document locked open in another app (or by a colleague) can’t finish syncing. Close it everywhere.

03 · Reset the sync engine.

If it’s still stuck, reset OneDrive. This re-reads everything from the cloud and almost always clears a jammed queue. Press Windows + R, paste this, and press Enter:

%localappdata%\Microsoft\OneDrive\onedrive.exe /reset

OneDrive will disappear for a minute, then come back. If the icon doesn’t return, open OneDrive from the Start menu. Still no luck? Unlink and relink: Settings → Account → Unlink this PC, then sign back in.

04 · Or let KoalaFix do it.

That’s the whole checklist a good IT person would run. It’s also exactly what KoalaFix does on its own. Your team member just says “my OneDrive isn’t syncing,” and the agent checks the account, storage, paused state and problem files, then restarts or resets the sync engine if needed. In seconds, no ticket.

05 · FAQ.

Why is OneDrive stuck on “Processing changes”?

Usually one large or locked file, a name with an illegal character, or a path that’s too long. Pause and resume syncing; if it sticks again, find the offending file (often the newest or biggest one) and rename or close it.

How do I force OneDrive to sync now?

Right-click the cloud icon → Resume syncing, or close and reopen OneDrive. If nothing moves, run the reset command above.

Will resetting OneDrive delete my files?

No. A reset only re-downloads the file list from the cloud and re-syncs. Your files stay in the cloud and on your PC. You may just see a sync catch-up afterwards.
